1. Scope and responsibility
This policy applies to information processed through the Service. If a production company, employer, or other organization gives you access to a Meta Note team workspace, that organization may separately decide why and how production content is used. Its own privacy notices and policies may also apply.
2. Information we collect
Account and profile information
We process information such as your name or display name, email address, account identifier, authentication provider, production role, preferences, and authentication or session data. If you sign in with Apple or Google, we receive the information that provider makes available according to your settings and its authorization flow.
Production notes and project content
The Service stores the content you create or submit, including project names, production-day information, filenames, frame rates, timecode modes and anchors, marker text and transcriptions, contributor names and roles, creation dates, and whether a note originated on Apple Watch. We refer to this information as "User Content."
Team and invitation information
For team workspaces, we process team names, owner and member account identifiers, membership roles and status, seat limits, plan or billing status, billing email, invitee email addresses, inviter information, and invitation timestamps and tokens. A workspace administrator may provide another person's email address to send an invitation.
Subscription information
Purchases are processed by Apple through the App Store. We receive and use the product, transaction, and entitlement status needed to unlock Meta Note Pro. Apple, not Meta Note, receives and processes your full payment details.
Support, contact, and signup information
If you contact us or join a beta, product, or newsletter list, we may receive your name, company name, email address, message, and any other information you choose to provide.
Technical and website-use information
We and our hosting, security, and analytics providers may process technical information such as IP address, browser or device type, operating system, referring page, pages viewed, approximate region, request timestamps, and diagnostic, error, or security logs. The Meta Note website uses Fathom Analytics and Google Analytics. Fathom provides privacy-focused aggregate analytics without cookies; Google Analytics may use cookies or similar technologies as described in Google's documentation and privacy terms.
3. Microphone, speech, camera, and device features
- Microphone and speech recognition: If you choose to dictate a note, Meta Note records temporary audio to create a transcription. Apple speech-recognition services may process audio or transcription requests depending on your device, operating system, and settings. The iPhone copy of a recording is removed after the transcription attempt. Apple Watch audio is transferred to the paired iPhone for transcription and may remain temporarily on the Watch until the operating system clears it.
- Camera: If you choose Camera Sync, live camera frames are processed on the device to recognize visible timecode. Meta Note does not store or sync those camera frames.
- Local storage and files: The apps store account sessions, preferences, pending sync operations, and project data on your device as needed to function. If you export or import a file, the destination or source you select may be governed by the applicable file provider's terms.
You can control microphone, speech-recognition, camera, and related permissions in your Apple device settings. Some features will not work if you deny the permission they require.
4. How we use information
We use information to:
- create and secure accounts, authenticate users, and maintain sessions;
- save, sync, transcribe, organize, display, and export production notes;
- provide team workspaces, collaboration, and invitation emails;
- verify subscription entitlements and provide paid features;
- respond to questions, support requests, and feedback;
- operate, maintain, troubleshoot, secure, and understand use of the Service; and
- comply with law, enforce our terms, and protect users, the Service, and others.
5. How we disclose information
We may disclose information in the following circumstances:
- Team collaboration: Active members of a team workspace can view and may be able to add, edit, or delete shared projects, production days, and notes. Workspace owners and administrators can also access membership and invitation information.
- Service providers: We use vendors to host and deliver the Service, process authentication, send emails, process speech and purchases, provide analytics, and support operations. These include Supabase, Apple, Google, Resend, Vercel, Fathom Analytics, Google Analytics, and Kit.
- Legal and safety reasons: We may disclose information if reasonably necessary to comply with law or legal process; enforce our agreements; investigate fraud, abuse, or security incidents; or protect rights, safety, and property.
- Business changes: Information may be disclosed as part of a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, subject to appropriate confidentiality protections.
- At your direction: We may disclose information when you ask us to or give us permission.
We do not sell personal information, and we do not use app data for third-party advertising or to track you across other companies' apps and websites.
6. Third-party services
Third-party services process information under their own terms and privacy policies. You can learn more from the privacy materials for Supabase, Apple, Google, Resend, Vercel, Fathom Analytics, and Kit.
7. Legal bases for processing
Where applicable law requires a legal basis, we process information as necessary to perform our contract with you and provide the Service; for our legitimate interests in operating, securing, supporting, and improving the Service; with your consent; and to comply with legal obligations. You may withdraw consent where processing depends on it, without affecting earlier lawful processing.
8. Retention and deletion
We retain account and project data while your account is active or as needed to provide the Service. You may delete individual projects and request account deletion. Following a verified deletion request, we delete or de-identify data from active systems, subject to limited retention in backups, security logs, legal records, and records relating to other users or team workspaces.
Content placed in a team workspace may remain available to that workspace after a member leaves or closes an account when another user or organization has a continuing right to the shared content. Retention by third-party providers is also subject to their policies and our service settings.
9. Your choices and privacy rights
Depending on where you live, you may have rights to:
- access, correct, or receive a copy of your personal information;
- request deletion or restriction of certain processing;
- object to certain processing or withdraw consent; and
- appeal a denied request or complain to your local data-protection authority.
To make a request, contact us using the details below. We may need to verify your identity and may decline or limit a request where the law permits. You can unsubscribe from marketing email using the link in the message. You can manage or cancel an App Store subscription through your Apple Account settings; deleting the app does not cancel a subscription.
10. Security
We use technical and organizational safeguards designed to protect information, including authenticated access, platform security controls, encrypted connections, access restrictions, and Apple data-protection features on supported devices. No system is completely secure, so we cannot guarantee absolute security. You are responsible for protecting your device and sign-in credentials and for maintaining appropriate backups or exports of important production records.
11. International processing
Meta Note and its service providers may process information in the United States and other countries. Where required, we rely on recognized safeguards for international transfers. Privacy protections may differ from those in your home jurisdiction.
12. Children's privacy
The Service is intended for production professionals and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, please contact us so we can take appropriate action.
13. Changes to this policy
We may update this Privacy Policy as the Service or applicable law changes. We will post the revised version here and update the date above. If a change is material, we may provide additional notice through the Service or by another appropriate method.
